Free business email in 2026: what each option leaves out

Zoho Mail's free plan gives up to 5 users on your domain, but web-only. Forwarding is free too; sending as you@yourdomain is where free runs out.

The only fully free mailbox on your own domain that we found from a major provider is Zoho Mail’s free plan: up to 5 users, 5 GB each, one domain, but web access only and only in some regions. Every other free route either just forwards mail to an inbox you already have (Cloudflare Email Routing, ImprovMX’s free plan) or comes bundled with something you pay for, like web hosting. The cheapest paid step up starts at $0.99 a month for Apple’s iCloud+, which adds your domain to iCloud Mail. Prices in US dollars, as of October 2026.

We haven’t used these services ourselves. The limits below come from each provider’s own pricing and help pages, read on October 28, 2026, and from the prices AskGPU already tracks, with the date each was checked.

What counts as “free business email”?

People mean three different things by it, and they are not equal:

  1. A real mailbox on your domain. Mail to you@yourbusiness.com is stored by the provider, and you can send from that address from the provider’s own servers. Only Zoho’s free plan offers this for $0.
  2. Forwarding. Mail to you@yourbusiness.com is passed on to a personal inbox such as Gmail. Receiving is free at Cloudflare and ImprovMX. Replying as you@yourbusiness.com is the hard part: neither service’s free tier sends mail.
  3. Bundled email. Mailboxes that come “free” with web hosting or a domain. You pay for the bundle, and the free period can end before the hosting does.

Google Workspace and Microsoft 365 have no free business plans. Google offers a 14-day free trial, and Microsoft a one-month trial that needs a credit card and converts to a paid annual subscription unless you cancel (both checked October 17, 2026). For their paid prices, see our Google Workspace vs Microsoft 365 guide.

Sources: Zoho’s pricing page and Free plan help page, Cloudflare’s Email Routing docs, ImprovMX’s pricing page and Google’s Gmail help, all read October 28, 2026. Hostinger from AskGPU’s data, checked October 25, 2026.

What does Zoho Mail’s free plan include, and what’s missing?

Zoho’s pricing page calls it “Forever free” and lists “Up to 5 users,” “5 GB mail storage per user” and “Custom email for one domain.” No credit card is needed. Zoho adds that “From the 6th user all users enter a paid plan,” so a sixth hire moves the whole team, not just one person, onto a paid plan.

What you give up:

  • No desktop or phone mail apps through standard protocols. The pricing page says “IMAP/ POP/ Active Sync not included,” and Zoho’s help page describes the plan as “web-only access.” You read and send mail in Zoho’s web app. Outlook, Apple Mail or Thunderbird can’t connect over IMAP. The help page doesn’t say whether Zoho’s own mobile apps work on the free plan.
  • Not available everywhere. Zoho’s help page says the free plan is “currently available only in selected data centers and may not be accessible in all regions.” Zoho doesn’t publish which regions qualify, so you find out at sign-up.
  • No forwarding or routing. Zoho lists Email Forwarding, Email Routing and ActiveSync among paid-only features, along with archiving, eDiscovery and S/MIME.
  • One domain. A second brand or domain needs a paid plan.

The paid step up inside Zoho is Mail Lite. Zoho’s pricing page loads its prices with JavaScript, so we couldn’t read the figure in this run; our Zoho Mail page lists Mail Lite at $1 a user a month billed yearly (5 GB), checked October 17, 2026. Zoho says Lite and Premium are billed annually and have “No monthly plan.”

Can you use Gmail with your domain for free?

Partly. The usual free setup has two halves:

  1. Receive: point your domain’s mail to a forwarding service. Cloudflare Email Routing “processes incoming emails with Workers or forwards them to destination addresses,” and Cloudflare says it is available on its Free plan. You must use Cloudflare DNS: Cloudflare’s setup page says “You must be using Cloudflare DNS to use Email Service,” and it adds MX records and an SPF TXT record for you. Limits are 200 routing rules per domain, 200 verified destination addresses per account, and a 25 MiB cap on incoming messages; larger ones are rejected.
  2. Send: in Gmail, go to Settings, then Accounts and import, then “Send mail as,” and add the address. Gmail asks for an outgoing SMTP server with a username and password, and says your provider must support “SSL or TLS with a valid certificate.” You can add up to 99 addresses.

The catch is step 2. Cloudflare’s docs describe Email Routing as handling incoming mail and say “You can only send from your routing domains” in a limited case: sending to verified destination addresses in your own account. They don’t describe it as a way to send to customers. ImprovMX’s free plan lists 0 SMTP sends. So for a free setup you still need an SMTP server from somewhere, and neither free forwarder supplies one.

Two more things Google’s help page warns about:

  • Recipients using Outlook or other services may see “From yourname@gmail.com on behalf of othername@otherdomain.com.” That exposes your personal address.
  • Replies go to your Gmail address unless you also set a reply-to address under “Edit info.”

And a deadline: Google’s help page says “Starting January 2027, Gmail will no longer support the “Send as” feature for third-party email addresses,” and that the change “does not affect Google Workspace aliases or other Gmail addresses you own.” Google doesn’t spell out how an address on your own domain sent through an outside SMTP server will be treated. Separately, Google says Gmail will stop fetching mail from other accounts over POP, with existing users able to keep using it “until January 2027.” If you plan to run a business on a personal Gmail plus forwarding, expect to revisit it in early 2027.

What does the cheapest paid step up cost?

If free doesn’t cover you, these are the lowest prices we have on record for email on your own domain. Each uses the source and date shown.

Option Price Billing What you get Source
iCloud+ 50GB $0.99/month Monthly Custom Email Domain: up to 5 domains, 10 addresses per domain Apple, read Oct 28, 2026
Zoho Mail Lite $1/user/month Billed yearly 5 GB per user; Zoho lists IMAP and POP as paid-plan features AskGPU, checked Oct 17, 2026
Neo Business Starter $2.49/mailbox/month Term not shown 15 GB per mailbox AskGPU, checked Oct 17, 2026
Proton Mail Plus $3.99/month Billed yearly ($47.88) Custom domain starts at this plan AskGPU, checked Oct 17, 2026
ImprovMX Light $50/year Yearly only Forwarding for up to 5 domains, 750 SMTP sends a month ImprovMX, read Oct 28, 2026
Microsoft 365 Business Basic $7.00/user/month Paid yearly Business email plus web and mobile Office apps AskGPU, checked Oct 17, 2026

A few notes on these:

  • iCloud+ is a personal subscription. Apple says Custom Email Domain needs iCloud+, two-factor authentication and iCloud Mail set up on your devices. You can use “up to five custom domains, with up to 10 personalized email addresses per domain,” and share a domain with up to five other people, each of whom can create up to 10 addresses. Apple also says it “doesn’t support managed accounts.” Apple’s iCloud page lists Custom Email Domain in every paid tier from 50GB ($0.99 a month) up.
  • ImprovMX Light keeps the forwarding model but adds sending, so it fixes the gap in the Gmail setup above, within 750 sent emails a month. Its cheapest monthly plan is Premium at $9 a month, with 12,000 sends.
  • Microsoft 365 Business Basic rose from $6 to $7 on July 1, 2026 (our report).

More options, including Purelymail, Migadu and Fastmail, are on our business email page.

Worked example: a 3-person business, first year

Say three people each need an address on yourbusiness.com, and the team wants to read mail on their phones.

  • Zoho Mail free plan: 3 users × $0 = $0 a year, if Zoho offers the free plan in your region and the team is fine using the web app instead of a standard mail app.
  • Cloudflare forwarding into three personal Gmail accounts: $0 to receive, but no free way to send as the business address from either Cloudflare or ImprovMX Free.
  • ImprovMX Light for sending, plus personal Gmail: $50 a year for the whole account, as long as the three of you send fewer than 750 emails a month combined (about 250 each).
  • iCloud+ 50GB, shared: $0.99 × 12 months = $11.88 a year. One person subscribes and shares the domain with the other two through Family Sharing or an invitation. Each person needs an Apple Account with two-factor authentication.
  • Zoho Mail Lite: 3 users × $1 × 12 months = $36 a year (yearly billing only), using the price on our Zoho page.
  • Microsoft 365 Business Basic: 3 users × $7.00 × 12 months = $252 a year.

The jump from $0 to $36 moves you to a paid Zoho plan, and Zoho’s help page lists IMAP and POP access as paid-plan features, so standard mail apps can connect. The jump from $36 to $252 buys Microsoft’s admin tools, Teams and the web and mobile Office apps, which is a different product, not just email.

What to watch for

  • The sixth user on Zoho. Zoho says that from the 6th user, all users move to a paid plan. Budget for the whole team, not one seat.
  • Region availability. Zoho’s free plan is only offered in “selected data centers.” There’s no list.
  • Forwarding is not a mailbox. Cloudflare and ImprovMX keep no copy you can search later. If the destination inbox is a personal account, the business mail lives there.
  • The January 2027 Gmail change. Google is ending “Send as” for third-party addresses and POP fetching for existing users in January 2027. Check Google’s help page before you build on it.
  • “Free for 1 year” bundles. Hostinger’s Premium web hosting includes 2 mailboxes per website free for 1 year, and AskGPU’s data notes that the price after that isn’t stated. The hosting itself is $2.49 a month on a 48-month term ($119.52 upfront) and renews at $10.99 a month (checked October 25, 2026). See our Hostinger page.
  • Annual-only billing. Zoho’s paid plans and ImprovMX Light are billed yearly. Microsoft’s paid plans are annual subscriptions that auto-renew.
  • The “on behalf of” line. Sending through Gmail with another address can show your personal Gmail address to recipients, per Google.

Which should you choose?

  • Solo founder, mostly on a laptop: Zoho Mail’s free plan, if it’s offered in your region. You get a real mailbox on your domain for $0 and can move to Mail Lite later.
  • You already pay for iCloud+ and use Apple devices: turn on Custom Email Domain. It is included in every paid iCloud+ tier, so it may cost you nothing extra.
  • You want to keep your current inbox: forward with Cloudflare Email Routing (if your DNS is on Cloudflare) or ImprovMX Free, and add ImprovMX Light at $50 a year when you need to reply as your business address.
  • A team that needs phone and desktop mail apps: a paid mailbox. Zoho Mail Lite is the lowest price we have on record. Google Workspace or Microsoft 365 if you also want the office suite; compare them in our 5-person cost guide.
  • You’re building a website anyway: check whether your host includes mailboxes, and what they cost after the first year. Our domain vs hosting guide explains which part of the bill email belongs to.
